Duties / Responsibilities / Accountabilities / Deliverables:

We are recruiting a Receptionist on a 12 month fixed term contract for our client site based at Fort Halstead in Sevenoaks.

Shift Pattern: Monday to Thursday between 8am-4.30pm and a 4pm finish on Fridays

Job purpose:To provide a professional and dedicated Front of House and Reception service to the client and their visitors.  Front of House is also the FM Hub, and provides Facilities Helpdesk services.

Key accountabilities:

  • Greet visitors ensuring all names and details are logged and recorded in the visitor management system (Sisys) and notify the appropriate member of staff or host.  All visitors are to be booked in and must be accompanied at all times (security clearance dependant).

  • Project a professional and positive image at all times to customers, visitors and suppliers

  • Assist security with keeping a close view of the car park and advise members of staff or visitors if they have parked inappropriately

  • If required the arranging of escorting services to take visitors without adequate clearance or familiarity with the site, to their destination on site as requested by and agreed with the host

  • To be fully conversant with the management of the client owned security pass equipment (Sisys) and identifying when consumables are required to enable passes to be issued.

  • Assist Helpdesk & Estates Manager with ad hoc duties and projects as required

  • Using Agility software, delivering Facilities Helpdesk Services including the creation and completion of work orders and providing feedback to customers on task progress, taking ownership of and tracking lifecycle of open work orders

  • To act as single point of contact for assisting services users with accessing FM services including but not limited to catering and reactive maintenance and cleaning requests, meeting room issues, customer feedback and complaints

  • Operate a clear desk policy and be responsible for general tidiness and housekeeping within the reception and Front of House areas

  • Develop an understanding of EMCOR and DSTL in order to improve personal contribution to the company and all staff interacted with

  • Carry out as requested any other office administrative duties, which are normal custom and practice

  • Assist admin with raising POs on JDE and completing other admin related tasks.

  • Comply with contractual KPIs, SLAs and Service Delivery Plans

  • To contribute towards, further development and implement the ONE TEAM EMCOR objectives. 

  • Making our customers lives’ easier is a critical element of this role. 

  • Be an ambassador of the EMCOR Group (UK) plc.

  • To follow EMCOR’s Code of Conduct and comply with the Client’s company rules and maintain a high standard of discipline. 

  •  To carry out other duties as may be reasonably requested from time-to-time by EMCOR Group (UK) plc

Person Specification:
    • Excellent telephone manner and communication skills

    • Smart, presentable appearance

    • Use of own initiative, an effective and confident administrator

    • Personable, approachable and able to work as part of a team

    • Proven track record within reception/customer facing roles

    • Well organised with the ability to prioritise

    • Good IT skills including MS software and knowledge of bespoke software packages with an interest in learning new technologies to improve efficiency and service

    • Working knowledge of Facilities Helpdesk and building operations, awareness of facilities disciplines to allow effective allocation of work orders

    • High calibre IT skills and presentation capability 

    • High Level of understanding of customer service excellence and the ability to deliver quality service
