This is a fantastic opportunity to join EMCOR UK's central L&D function providing administration support to the L&D Functions.
Job Purpose:
Working with the L&D team to provide administration and coordinator resource to the L&D function for business skills, management and leadership and cleaning staff. Ensuring colleagues across the business are fully aware of L&D initiatives and opportunities; coordinating, monitoring and evaluating business and soft skills training courses and personal development activities in accordance with EMCOR UK’s learning and development and business strategies. Monitoring and updating the business online learning management system to ensure module content meets business requirements.
Duties/responsibilities/accountabilities/deliverables:
Training Authorisation:
• Manage internal learning requests Smartsheet and keep wait list updated at all times
• Ensure correct authorisation routes are up to date
• Complete training support agreement forms to align with current practices and authority routes, including qualifications requests to support Apprenticeships Manager
Programme Coordination:
• Direct all training requests through the automated link to the L&D Smartsheet
• Liaise with external and internal trainers to ensure availability and book programmes
• Negotiate with and book training programmes with external venues
• Organise refreshments at internal venues for events
• Source additional suitable venues and negotiate costs
• Preparation and dissemination of pre and post course joining instructions
• Manage attendance records and administer training invoices and internal re-charges
• Liaise with training providers and consultants to ensure training programme coordination and course delivery needs are met
• Activate evaluation feedback emails after each programme
• Work with learners, HRBPs, Line Managers and site training coordinators to ensure courses are fully populated
• Oversee relationship with BICSc to coordinate and administer training for cleaning population
Course Materials:
• Ensure all course materials are correctly branded and accurately written
• Production, printing and distribution of training course materials, certificates and delegate registers, ensuring that accurate attendance records are maintained
Online Learning Platform:
• Monitoring of L&D training inbox during L&DBP absence (mostly on Fridays), managing and responding to enquiries within maximum three days
• Administration and uploading of attendance records to Kallidus Learn platform to keep up to date compliance records
• Supporting L&DBP with administrative activities on Kallidus Learn
Reporting & Financials:
• Manage purchase card for payments, ensuring monthly reconciliation is accurate
• Provide monthly activity and data reports as required to Head of L&D, WSA team and HR
• Working closely with the Finance Team to ensure all reporting is accurate and up to date at all times
• Use IFS systems to add training partners and suppliers; raise and process purchase orders and invoices
• Raise purchase orders and organise payments for venues, trainers and suppliers in a timely manner
• Maintain L&D database and spreadsheets with accurate up to date information to enable cross-charging of contracts, accounts and departments on a monthly basis, maintaining close contact with the finance team for any queries
Customer Service:
• Responding to enquiries in a timely manner
• Provide administrative support to Head of L&D and L&D business partners, including written communication to delegates, external training providers, venues and EMCOR UK management
• Call learners post programme (within maximum of one week) to chase evaluators and gather anecdotal feedback in person by phone utilising agreed question-set
• Monitor and respond to feedback received by sharing with trainers and Head of L&D
Learning Champion Pool:
• Providing administrative support to LCPs to organise programmes and workshops
• Identify when LCP need to be updated or amended
L&D Workshops:
• Part of team rolling out annual L&D roadshows and corporate inductions across business and ongoing collaboration with OLT to determine needs
Communications:
• Ensure internal customer base are kept up to date with new and upcoming L&D initiatives via Connect App
Ad-hoc:
• Provide support at learning events/workshops as required
• Other duties as required
Person specification:
• Advanced Microsoft Word, Excel and PowerPoint skills essential
• Experience in programme coordination useful but not essential
• Effective administrative and organisational skills are essential and acute attention to detail a must
• Educated to A’level standard or equivalent
• Excellent written and verbal English skills essential
• Ability and confidence to work well and communicate with all levels
• A self-starter, uses initiative and comfortable working without constant day to day management
• Flexibility and ability to respond to changing priorities
• Good influencing and communication skills are essential
