What you'll do:

 

The Learning & Development Administrator is responsible for the effective administration and coordination of Compliance, Technical and Safety training activities and support requirements for the EMCOR UK business.

Supporting the Head of L&D and Health & Safety  and operations teams by providing a professional coordinating resource ensuring that internally delivered compliance, health and safety and technical skills training courses are properly planned, marketed, administered, monitored, delivered, evaluated and reported on in accordance with EMCOR UK’s learning and development strategies.

Training Coordination:

  • Closely monitor training requests to ensure all approved requests are actioned straight away
  • Liaise with account leads to push through authorisations to keep waiting time to a minimum
  • Book external training with approved and preferred providers first, ensuring training brokers are only used in cases of specialist skills or difficult areas geographically
  • Manage and schedule training calendar and plan with internal Technical, Compliance and Safety Trainers

Organise training sessions including:

  • Working with Line Managers and site training coordinators to ensure courses are fully populated
  • Preparation and dissemination of joining instructions including pre and post course information to all participants
  • Administer any associated invoices and internal charges
  • Ensuring accurate attendance records are kept up to date at all times
  • Liaise with Health & Safety team to maintain close collaboration and coordination between Learning & Development and H&S and Compliance functions

Kallidus Learn (Learning System):

  • Provide ongoing support to L&D Business Partner by managing basic administrative queries and uploading group training sessions to platform
  • Report monthly to Head of L&D on booked courses, cancelled courses, non-attendance and any spend
  • Report monthly to finance team for cross-company recharges of no-shows and non-attendance
  • Support accounts by providing detailed reports for audit and compliance purposes

Data Entry

  • Ensure all data input onto L&D database is 100% accurate at all times by monitoring information provided on training request forms daily

Customer Service:

  • Responding to telephone and email enquiries in a timely manner
  • Collecting feedback and evaluations from learners after maximum of one-week post-programmes by calling individuals and asking the set questions
  • Providing any anecdotal feedback to trainers and Head of L&D to ensure quality of materials and sessions reaches the required standard, and individual experience is always positive.

Person Specification

Who you'll be:
 
  • A self-starter, comfortable working without constant day to day management
  • Able to manage high volumes of transactional activity accurately and in a timely fashion, whilst being cognisant of the importance of hitting deadlines
  • Highly capable and confident managing information systems
  • Proficient Microsoft Office skills
  • Good attention to detail with excellent English grammar
  • Possess the drive, determination and tenacity to manage others regarding compliance towards training requests and attendance on courses booked, whilst promoting the importance of learning and development in our business
  • Excellent organisational and planning skills are essential in this role
  • Flexibility and ability to respond to changing priorities and different styles and requirements across the business
  • Good influencing and communication skills are essential
