About the role

Role Overview

We’re excited to offer a fantastic opportunity to join our dynamic Facilities Management team as a Facilities Coordinator — a role that’s become available due to the well-deserved promotion of one of our team members!

This is a brilliant chance to step into a varied and rewarding position where no two days are the same.

 You’ll play a key role in ensuring the smooth running of our multi-use site, supporting both the operational and administrative sides of facilities management. The position will require management of our Cleaning and Reception teams alongside other soft services delivered by preferred suppliers. In this role, you'll adhere to EHS and client processes in a multi-site environment, with responsibility for administrative duties for our FM team.

 
What you'll do:
 
  • Proactive management of helpdesk tasks and ensuring SLA achievement
  • Responsible for the day to day management of all soft services
  • Overseeing & covering reception duties when required
  • Carry out administrative duties for facilities which include KPI Auditing, collating records of quotations and formulating minutes of meetings
  • Assist the FM to ensure all finance processes are followed and records kept up to date with regards to extra works quotations and budget management
  • Ensuring all soft services & M&E log book processes and procedures are achieved
  • Support the M&E Supervisor with ensuring the CAFM System and Asset Management database
    is kept up to date and regularly review
  •  Maintain and control stock levels of PPE, Office Stationery/Equipment
  • Develop and maintain relationship with suppliers and subcontractors
  • To ensure that clients are subjected to minimum disruptions whist FM works are carried out, leading communication distribution when required
  • Act upon reasonable requests and instructions from the client, customer and peers/colleagues from all departments/service lines
  • Assist the Operations Manager in administration duties for the account

You’ll be a confident, capable professional who thrives in a fast-paced environment and enjoys being the go-to person for getting things done. With a full driving licence and a strong command of written and spoken English, you’re comfortable communicating at all levels and representing the team with professionalism and warmth. You’ll bring:

  • A solid understanding of operational procedures like supplier management, procurement, and Health & Safety (don’t worry if you’re not IOSH or SIA certified yet — we’ll support your training)

  • Experience leading or supervising others, with a natural ability to motivate and guide a team

  • A calm, organised approach to juggling priorities and meeting deadlines

  • A background in customer-facing roles, where your people skills really shine

  • Strong administrative know-how and a sharp eye for detail

  • Excellent IT skills, especially across Office 365 tools like Outlook, Excel, and Teams
